What can AI actually do for a small business?

The honest answer in two sentences: AI is genuinely good at reading, sorting, drafting, and predicting, which covers a surprising amount of the paperwork that eats your week. It's not good at running your business, and anyone selling you that version is selling the demo, not the tool.

Here's what that means in practice, function by function.

The inbox. This is where most businesses should start, because it's where the mess concentrates. AI can read incoming email, figure out what each message actually wants, sort it, and draft a reply in your voice for you to approve. Approve is the key word. The setups that work keep a human on the send button. The setups that go viral for the wrong reasons don't.

Quotes and intake. If pricing lives in your head or in a spreadsheet only you can drive, AI can learn the logic and turn a plain-language job description into a draft estimate. Same for intake: forms that fill themselves from an email thread, summaries waiting on your screen before an appointment. Boring. Life-changing. Both.

The paperwork nobody bills for. Follow-up messages written from your actual notes. Invoices drafted the day a job closes instead of the weekend you finally get to them. Reports assembled from the threads where the information already lives.
